How we handle your information

This policy explains what we collect, why we collect it, and the choices you have. Last reviewed at the quarterly assembly of August 2026.

  1. 1. Who we are

    SIS BALEH ASSOCIATION COMMITTEE (INC.) is an incorporated non-profit association in Vanuatu (Registration No. 501668), located at Bo. Mata de Caña, Carr. 121, Vanuatu. The committee is the data controller for information collected through this website and through our community programmes.

  2. 2. Information we collect

    We collect only what we need: the name, email address, area or village, subject and message you submit through the contact form; membership records (name, contact details, village, dues status); volunteer availability and skills; and photographs taken at public events where consent has been given.

  3. 3. How we use information

    Enquiry data is used solely to respond to you. Membership data is used to maintain the register, issue meeting notices and record votes. Aggregated, non-identifying figures may appear in public project reports and grant applications. We never sell, rent or trade personal data.

  4. 4. Legal basis and consent

    We process personal data on the basis of your consent, our legitimate interest in operating a community association, and where applicable our legal obligations as an incorporated association in Vanuatu. You may withdraw consent at any time.

  5. 5. Cookies and analytics

    This website uses only essential, functional storage — for example remembering your chosen language (Bislama or English) in your browser. We do not use advertising cookies or cross-site tracking. Clearing your browser storage removes this preference.

  6. 6. Sharing and disclosure

    Personal data is shared only with committee office-bearers who need it for their duties, and with independent reviewers or grant funders where a legal or contractual obligation requires it — in which case we share the minimum necessary, and prefer aggregated figures.

  7. 7. Retention

    Enquiry messages are retained for up to 24 months. Membership and financial records are retained for the period required by association bylaws and Vanuatu law, then securely destroyed.

  8. 8. Security

    Records are held in controlled accounts with restricted access. Paper registers are stored at the committee office. We review access rights at each annual assembly.

  9. 9. Your rights

    You may request access to, correction of, or deletion of your personal data, and may ask to be removed from any mailing list. Write to us at the email or address below and we will respond within 30 days.

  10. 10. Children

    Youth programme participation records for those under 18 are kept only with the written consent of a parent, guardian or recognised community elder.

  11. 11. Changes to this policy

    Any material change to this policy is tabled at a committee assembly and published on this page with a revised date.
